Welcome to the Qpercom Assessment Platform! Managing live remote and virtual assessments can seem complex, but Qpercom provides all the tools you need to seamlessly coordinate multi-station events, monitor progress, and securely proctor candidates from anywhere in the world.
Whether you are running an online OSCE or conducting remote Multiple Mini Interviews (MMIs), this guide will walk you through everything from balancing your session logistics to changing the automated assessment states on the day.
1. Preparation: Session Balancing & Assessment Settings
Before launching a remote assessment, you must ensure your sessions are perfectly balanced and the correct settings are enabled.
- Balancing Your Session: The number of Stations must balance with the number of Candidates in each Group.
- More Candidates than Stations? Add a Rest Station to your circuit.
- More Stations than Candidates? Add BLANK Candidates to your groups to ensure the rotation logistics run smoothly.
- Enabling Remote Settings: In your Assessment Settings, you must ensure both Is Remote or Controlled Assessment and Is Accessible are set to YES. Once the assessment is completely finished, you should change these back to NO to restrict access.
- Auto Configuration: Ensure that the Auto Configuration setting is set to NO for remote assessments.
2. Proctoring & Exam Security Options
Qpercom offers robust proctoring and invigilation options to ensure exam integrity. You can enable these individually or in combination via your Assessment Settings:
- Live Proctoring: Toggle this on to view live video feeds of all activity across the assessment circuit. Participants will see a blue “MON” (monitoring) icon on their screens.
- Record & Review: You can choose to record individual station rooms or ad-hoc briefing rooms. A red recording icon will display for participants, and files are securely saved to your Media Centre for later review.
- Second Camera Proctoring: If you need a 360-degree view of the candidate’s environment, this setting prompts candidates to scan a QR code with their smartphone, activating a secondary camera feed alongside their main device.
- Candidate Safe Exam Browser: For high-stakes security, require candidates to download the Safe Exam Browser. This locks down their device, preventing them from taking screenshots, copying/pasting, or accessing other applications during the exam.
3. Uploading & Linking Media
Providing reading materials, patient charts, or video clips to participants is handled through the Media Centre.
- Upload Media: Navigate to the Media Centre to upload your files, ensuring they are clearly labelled for easy identification.
- Linking Media: You can attach media directly to a specific Station (available for that single event) or to a Scoresheet (available every time that scoresheet is used).
- Shareable Media: If you want Assessors to reveal specific media to Candidates mid-assessment based on their performance, ensure you tick the Shareable checkbox when linking the file.
4. The Remote Dashboard: Tabs & Tools
On the day of the assessment, click the Monitor Assessment Sessions icon to access your control dashboard.
- Configuration Cog: Use this to set your state time limits, customise state names, toggle screen-share abilities, and hide participant names for anonymous viewing.
- Monitor Tab: Get a bird’s-eye view of scoresheet progress across all stations. Purple means a scoresheet is newly opened, Orange means marking is in progress, Green means the scoresheet is fully submitted, and Grey indicates a BLANK candidate.
- Circuit Prompts Tab: Send custom text prompts (e.g., “1 minute remaining”) to specific roles, or set automated prompts to fire at specific intervals.
- Candidate List Tab: Connect one-to-one with candidates in their waiting areas to verify their IDs. Crucial Step: You must check the Document Checked/Can Proceed box for each candidate to permit them to join the exam. You can also approve bypass requests here for candidates with poor internet connections.
- Active Rooms Tab: Preview stations anonymously (using the eye icon) to check participant numbers, manually join stations, or create ad-hoc rooms for pre-exam briefings and post-exam wash-ups. All system and participant issues are also logged at the bottom of this tab.
5. Running the Live Assessment Flow
A nominated Administrator must control the flow of the session by moving participants through the automated states.
- Preparation: Click Change to next state to begin Preparation. Assessors and actors will rendezvous in their stations, while Administrators verify Candidate IDs in the waiting rooms.
- Reading Time: Advance the state to automatically show Candidates their reading materials and station instructions.
- Assessment & Checkpoint: When the reading timer hits zero, advance to Assessment to bring Candidates into the video stations. After the assessment timer concludes, advance to Checkpoint to monitor scoresheet submissions before starting the next rotation.
- Group Finished & Pausing: After the final Checkpoint of the rotation, move to Group Finished, select your next scheduled group from the dropdown, and return to Preparation. If an emergency occurs during any state, click Pause to freeze timers and hide media until you click Continue.
