Qpercom Assessment Platform Administrator Guide Part 3: Configuring Assessments

This section covers the core logistical setup required to build your assessment event. It walks you through creating the assessment, adjusting exam settings, building sessions, adding your stations, assigning your examiners, and organising your candidates into groups.


1. Management & Analysis: Creating the Assessment

  • Access Management: Navigate to the Assessments menu option and click Management & Analysis where you can Create, Update or Delete assessment events. Use the Filter list options to choose the Field, Assessment period and the accessibility of Assessment events you wish to view. You will be presented with a list of relevant Assessment events which can be deleted or edited.
  • Add a New Assessment: To add a new Assessment event, click Add. You will need to specify an assessment Name and Description.
  • Assessment Settings: You have a number of assessment event Settings available to set now or set later as follows:
    • Type: Choose from OSCE, Interview, Self Assessment or Self Assessment.
    • Default Assessors: The number of assessor slots that you want to appear for each Station.
    • Grade: Pre-configured grade rules (contact Qpercom to discuss setting specific rules).
    • View Assessment Results: Choose to allow assessors view assessment results during an assessment event.
    • View Item Marks: Choose to allow assessors view Item marks on Scoresheets during an assessment event.
    • View Overall Totals: Choose to allow assessors view the overall total score accumulated on the Scoresheet during an assessment.
    • Use Submit & Next: Choose to allow assessors use the Submit & Next button when assessing candidates. If this setting is set to Yes, assessors will have the option to submit a Scoresheet for one Candidate and move directly to the next Candidate’s Scoresheet without returning to the Candidate List after each submission.
    • Show Countdown: Choose to show assessors the guide countdown timer during an assessment.
    • Is Remote Controlled Assessment: Activate remote assessment functionality where assessment participants can configure their camera and microphone to join an assessment remotely, proctoring options for an assessment and whether an assessment is to be taken through Safe Exam Browser.
    • Is Accessible: Choose to make an assessment available to assessors within the Perform Assessment section and candidates and actors on their assessment list while it is set to Yes. Assessments where this setting is set to No will not appear for assessors, candidates and actors.

2. Manage Sessions

  • Add a Session: Click Manage Sessions and you can click Add to add a new Session to your Assessment. You will need to add a Date from a calendar popup or complete the date field manually, add a Session description e.g. Morning Session, Afternoon Session, etc.
  • Set Session Times: You can optionally specify a Start Time and End time for the session.
  • Reuse Stations & Accessibility: If you are cloning Stations from another Session you can choose specific Sessions from the dropdown and you can also set a Session as Accessible.

3. Manage Stations and Station Types

  • Access Manage Stations: Click on Manage Stations and you be taken to the Manage Stations page where you can add, edit and remove Stations within your Sessions. Click Add to add a Station and you will be presented with the option to choose to add Scoresheet from Bank.
  • Configure Station Settings: You must indicate the Station Order Number for your Session, Station Group (optional), Scoresheet from Bank, Station Type, Station Pass Value (%), Station Time, Visual Alarms and Notes Auto Popup settings and click Add.
  • Station Types: Depending on what you are looking to assess, you can choose from of the following Station Types each with their own settings:
    • Assessor
    • Evidence Verification
    • Object
    • Rest
    • Self Recording
  • Managing Existing Stations: You can view and manage Stations on the Manage Stations page. Options available to you here include updating Station Order number, updating Pass Value (%), changing Scoresheet at each Order number, for multiple-scenario assessments adding more scoresheets to the same Station Order number, assigning Members to each Station, toggling Notes auto popup on or off, changing Station type, previewing each Scoresheet and previewing attached Media to ensure it is appropriate.
  • Get Print Marking Sheets: To access PDFs of your Scoresheets, click the Get Print Marking Sheets button and you will be able to generate PDFs for downloading and printing a small number of backup paper scoresheets as a contingency for losing internet connection.

4. Reusing Scoresheets & Sessions

  • Reuse Scoresheet, Previous Assessment: Should you wish to reuse a Scoresheet from a previous Assessment you can do so with the Reuse Scoresheet, Previous Assessment option. Again you must specify the Station Order Number and you will be able to select a previous Assessment from a dropdown list. A list of all Scoresheets within that previous Assessment will appear for you to select the appropriate one and you can set the other attributes for the Station before clicking Add.
  • Reuse Stations: Finally you can select a full Session including all Stations used in a previous Assessment on the Reuse Stations option. You will be able to select a previous Assessment from a dropdown list and then a list of all Sessions within that previous Assessment will appear. Select the appropriate Session and all Stations within will be added to your current Session once you click Add.

5. Manage Members (Assessors, Observers & Actors)

  • Assign Members: Click on Assign Members and you will be taken to the Manage Station Members section. Click Edit to adjust the number of Assessors for each Station and you can assign Assessors for each slot from the drop downs provided.
  • Assessor Weighting: You can choose from Low Weighting, Regular Weighting or High Weighting for each Assessor you assign with Regular Weighting being the default.
  • Observers: For Assessors in training you can assign them as Observers and their scoresheets will not impact on the final scores for an Assessment.
  • Updating & Navigating: Ensure you click Update when you have finished assigning at each Station and you can use the Next Station and Previous Station buttons to navigate through all Stations in each Session.
  • Assigning Actors: Note: For Remote Assessments you can assign Actors in the same manner as Assessors and Observers and they will be taken directly to their Station to rendezvous with Assessors.

6. Manage Groups (Adding Candidates)

  • Add Groups: Click on Manage Groups when you are on the Manage Sessions page and you will be directed to Manage Groups page where you can add, edit and remove Groups of Candidates for an Assessment. To add a Group, complete the name field and then click on Add Group. You now have a Group to which you can drag and drop Candidates and you can edit or delete each Group if you no longer need it.
  • Add Candidates: Clicking Add Candidates will present you with a floating window with different Field and Branches or Imported Groups containing lists of Candidates. Select the appropriate Field and Branch or Import Group from the drop down lists and the Candidates in the list chosen will be available to drag and drop into the target Group.
  • Starting Positions: The position you drop a Candidate in a Group will determine their starting position on your Session circuit i.e. the Candidate in position 1 will start at Station 1, the Candidate in the final position will start at the final Station, etc.
  • Save and Print: Once you have completed building your Groups, ensure to click Save for your Groups to be finalised for the Assessment. You can generate a PDF for your Invigilators to use by clicking Print/Export and each Group name and all Candidates within will be listed alongside their starting Station number.
